When can data leave the device?

On-device processing describes the analysis. Network features each serve a different purpose.

Image analysis

Text and visual content are processed on device to organize and search your images.

No upload to a CaptainShot image-analysis service.

iCloud Photos

Apple may download an image stored only in iCloud Photos to make it available for local analysis.

Depends on your photo library and Apple settings.

iCloud backup and import

Organization and analysis data, including notes and saved summaries, can be transferred through CloudKit for use on your devices.

This data can also contain work-related information.

Collection sharing

When you create a share, the selected images and their metadata are uploaded to CloudKit, the Apple service used by this feature.

The link, or the code together with its PIN, enables import. Choose recipients carefully.

Other sharing

Images or text can be sent to another app or recipient through sharing actions.

The selected service determines how the shared content is then handled.

Subscription

Purchases and some entitlement checks use Apple services.

Local analysis does not mean every feature works without a network connection.

An individual app for professional workflows.

CaptainShot can help a person find their working references. Consider its current scope when evaluating it for a team.

What you can use

  • Search across screenshots and added photos.
  • Collections, custom selections and Notes.
  • Image-linked reminders and user-initiated sharing.

What is not currently offered

  • SSO or role-based access management for a team.
  • Evidentiary archiving, enterprise document storage or an announced compliance certification.

Three points to consider for your organization.

  1. 01

    Choose the content

Identify which work screenshots and photos may be used on the devices involved.

  2. 02

    Review data flows

Check your iCloud settings and the sharing practices permitted by your organization.

  3. 03

    Try a workflow

Use non-sensitive images to evaluate the search, notes and reminders you would use.

Useful answers before you start.

Can CaptainShot work offline?

Yes, for analysis of images already available on the device. Retrieving images from iCloud Photos, backup, import, collection sharing and some subscription checks may require a connection.

Do I need a work account?

No CaptainShot account or work email is required to use the app. Features relying on iCloud or the App Store depend on the relevant Apple services and account.

Do images always stay on my device?

Core analysis runs locally. However, iCloud Photos and sharing actions can transfer images. Collection sharing uploads images and their metadata to Apple’s CloudKit service.

Can a sharing link be forwarded?

A recipient can forward a link or access details. Someone who has already imported images can keep a copy. Collection sharing should not be treated as centralized team access management.

Is CaptainShot suitable for all company data?

Local processing alone does not establish compliance with your internal requirements. Assess the devices, Apple settings, content and permitted sharing. The app does not provide centralized policies.
